Terms of use

These terms cover the Trek Together app — creating a trip, joining someone else’s, and what everyone can expect from each other while using it.

The agreement

Trek Together is provided by Travel Trek Vacations. Official business and contact information is available on the Contact page. By creating an account, creating a trip, or joining a trip, you agree to these terms. If you use the app for an organisation, you confirm you may accept them for that organisation.

Eligibility and your account

You must be at least 13 to hold an account. If you are under 18, a parent or guardian must consent to your use. Give accurate registration details, keep your credentials private, and use the Contact page if you think someone else has access to your account.

Accounts are personal. Do not share a login so that several people appear as one traveller — roles, approvals, allergy notices, and read receipts all assume one account is one person.

Trip codes and invitations

A trip code, QR code, or invitation link is a private invitation, not a public address. Do not post one publicly or forward it to people your host has not agreed to include.

Knowing a code does not by itself grant entry: where a host requires approval, the code only places you in the approval queue. If you were removed or declined, re-entering the code puts you back in that queue as an ordinary traveller — any elevated role has to be granted again.

Revoking an invitation, or letting it expire, updates the list your host sees. It does not disable a code or link that has already been shared: the trip code is what the app checks when somebody joins, and it does not change. If a code has reached someone it should not have, the controls that actually work are requiring approval for new arrivals, and removing or declining that person.

What hosts and co-hosts can do

A trip is run by its owner, who is the host, together with any co-hosts and advisors they appoint. On their own trip they can:

  • approve, decline, or remove members, and re-open a removed member’s request
  • assign roles — advisor, co-host, traveller, or guest
  • pin, feature, or hide any member’s post, including yours
  • create and edit the itinerary, saved places, polls, and announcements
  • upload and share documents with the group
  • change trip settings: privacy mode, whether joining needs approval, and whether members may post, upload media, comment, react, suggest locations, or place photos on the map
  • see the food allergy notice for every member of the trip
  • archive the trip and download a trip archive file

The trip owner keeps the host role: their own membership cannot be demoted or removed, including by a co-host. Co-hosts may approve members but may not appoint other co-hosts.

If you join someone’s trip, you are accepting that they hold these powers over the trip space and the content in it.

Your content

What you write, photograph, and upload stays yours. By sharing it in a trip you give Travel Trek Vacations permission to store, process, adapt for display, and show it as needed to operate the app for you and your group — and you give the trip’s approved members the ability to view, download, and keep what you shared with them.

Content already shared stays with the trip when you leave, are removed, or close your account so the group record remains usable. The permission to store and display that shared content continues only as long as reasonably needed to operate and preserve that trip record, unless applicable law requires removal.

Only upload content you have the right to share. That covers photographs of other people, documents that name someone else, and anything you did not create yourself.

Acceptable use

Trek Together is a small private space built on trust between travellers. Do not:

  • republish another traveller’s photos, messages, documents, phone number, home city, or allergy details outside the trip without their agreement
  • upload someone else’s passport, visa, boarding pass, or insurance document without their permission
  • post unlawful, harassing, hateful, deceptive, or infringing content
  • try to reach a trip you have not been approved for, or work around approval, removal, or moderation decisions
  • scrape, bulk-download, or automate access to the app, or upload malware
  • use the app to send unsolicited marketing to other travellers

We may remove content or suspend accounts that break these terms. Where practical, we will explain the reason. You may ask for review through the Contact page.

Allergy information is not medical advice

The allergy notice shown to hosts, and the allergy context given to Trek Guide, exist to help a group plan meals thoughtfully. They are a convenience, not a safety system.

Never rely on Trek Together alone for an allergy that could seriously harm you. Tell restaurants, airlines, tour operators, and medical providers directly, and carry whatever you need. Travel Trek Vacations does not verify what any traveller enters, and cannot be responsible for what a host, a fellow traveller, or a venue does with it.

Trek Guide

Trek Guide is an AI assistant. Its answers can be wrong, out of date, or invented — check opening hours, prices, bookings, and travel requirements yourself before relying on them.

Itinerary drafts it proposes are only suggestions until a member with permission reviews them and adds them to the trip. Your question and your trip’s context, including approved members’ allergy information, are sent to an AI provider for processing, as described in the Privacy notice.

Third-party services

Parts of the app hand off to services we do not control — map tiles from MapTiler, place lookups from Photon by Komoot, calendar sync with Google Calendar, and ride links to Uber. Their own terms and privacy policies apply when you use them, and we are not responsible for what they do or whether they stay available.

Moderation and reporting

Hosts moderate their own trips: a host can hide a post and remove or decline a traveller. To escalate an issue beyond your host, contact Travel Trek Vacations through the Contact page. Administrators can review reports and act across the platform.

We may hide or remove content, suspend an account, or close a trip where we believe these terms have been broken or where the law requires it.

Availability and disclaimers

Trek Together is provided as it is. We do not promise it will be uninterrupted, error-free, or permanently available, and features may change.

The app is a coordination tool, not a travel agency service, a booking system, or a records system you should rely on as your only copy. Keep your own copies of tickets, passports, and confirmations. You remain responsible for your own travel arrangements, visas, insurance, and entry requirements.

To the fullest extent permitted by law, Travel Trek Vacations is not liable for indirect or consequential loss arising from reliance on trip content, AI suggestions, third-party services, or service interruption. Nothing in these terms excludes rights or liability that cannot legally be excluded.

Ending your use

You can leave a trip whenever you like, unless you own it. A host can remove you from a trip; when that happens your access to the trip and its group conversation ends, while direct messages between you and individual travellers remain.

We may suspend or end access for a serious or repeated breach of these terms. You can review and close your own account from Profile; the confirmation screen explains what is deleted, anonymised, and retained before anything happens.

Changes to these terms

These terms may change as the app changes. The updated date appears above, and material changes will be highlighted in the app when required.

Governing law and disputes

These terms are governed by the laws that apply to Travel Trek Vacations and to you, without removing mandatory consumer rights in your location. Start any question or dispute through the Contact page so the issue can be reviewed directly before formal proceedings.
